Summary of Position: The Academic Affairs Office Assistant supports senior academic leadership and the day to day operations of the College of Arts and Sciences and the University Academics.
Duties and Responsibilities
Serve office guests with professionalism and a high level of customer service
Maintain office culture of hospitality and professionalism
Manage kitchen and Academic Affairs office hospitality
Supervise Academic Affairs student workers
Manage calendars, meeting schedules and agenda development, specifically for the CAS VPAA/CAO and the Assistant VPAA
Provide additional administrative support to the VPAA/CAO, and to the Assistant VPAA including:
Coordinate travel
Communicate with constituents in person, on the phone, via email or letters
Process financial requests, collect and organize receipts, reconcile credit cards, keep accurate financial records, submit check requests and journal entries, and produce budget reports as needed
Submit transportation requests, room reservations, work orders, etc.
Approve attendance for direct reports
Gather and distribute CAS faculty announcements
Coordinate with external vendors and faculty regarding new textbook submissions
Oversee excused absence request system

Education
High school diploma required
Bachelor’s degree preferred
Experience
Minimum of five (5) years in professional administration; experience in higher education administration preferred
Experience working effectively with individuals from diverse communities and cultures

Personable, hospitable, and strong people skills
Strong interpersonal, written, and verbal communication skills
Well organized and able to manage multiple administrative tasks simultaneously

Superb computer skills (Microsoft Office Suite) and data management skills
Strong work ethic and able to set and accomplish goals
